VACATION CONFIRMATION / CONTRACT / ACCOUNT INVOICE
Thank you for choosing to partner with Blue Sea Vacations, LLC/Travel Concepts, Inc. We, in turn, have partnered with suppliers to create a customized journey; our goal is to provide a worry-free, quintessential travel experience. To ensure you understand the conditions of your particular vacation and components, please review the following policies and procedures completely. Providing payment constitutes your complete understanding of all terms and conditions pertaining to your travel arrangements. Representing you as a full-service travel consulting & management company, Blue Sea Vacations/Travel Concepts, Inc. and its representatives are responsible for providing information to you, examining and verifying all information, and ensuring you understand all of the policies, fees, and requirements to which you are subject.
PLEASE NOTE, HEREIN, THE SPECIFIC CHANGE/CANCELLATION PENALTIES THAT ARE APPLICABLE. THESE INCLUDE THE SUPPLIER(S) AND BLUE SEA VACATIONS/TRAVEL CONCEPTS, INC.
Please notify your Blue Sea Vacations/Travel Concepts specialist regarding any discrepancies, misspellings, or inaccuracies within the 24 hour period. Errors brought to Blue Sea Vacations/Travel Concepts’ attention after 24 hours may not be repairable or reconcilable without a fee assessed to the traveler. Blue Sea Vacations/Travel Concepts, Inc. is not liable for or responsible for fees that may be incurred after the 24 hour period. Blue Sea Vacations/Travel Concepts, Inc. is not responsible or liable for incorrect airline ticket travel dates reserved when airfare is reserved outside of a Blue Sea Vacations/Travel Concepts package (traveler reserves own airfare using a source outside of Blue Sea Vacations/Travel Concepts).
DOCUMENT ADDRESS: Please confirm your mailing address to receive travel documents. There will be a $25.00 fee for returned documents.
PASSPORTS: Everyone, including children and infants, MUST have a VALID passport to travel internationally (not Passport Card). Failure to comply will result in denial of boarding, no refund, no exceptions (out of the USA). Blue Sea Vacations/Travel Concepts, Inc. is NOT responsible for passports in ANY way. Passports need to be valid for 6 months from your return date. PASSPORT CARDS ARE NOT VALID FOR TRAVEL INTERNATIONALLY VIA AIR!
HONEYMOON & ANNIVERSARY TRAVELERS: You MUST bring a copy of your marriage certificate to qualify for any complimentary honeymoon/anniversary package (photocopy is recommended). Failure to have such proof of marriage will result in the resort denying these complimentary privileges (if applicable). PLEASE notify your Blue Sea Vacations/Travel Concepts Specialist if you are celebrating a Honeymoon or Anniversary so that they can annotate this in your reservation. Typically a resort will honor these packages up to 30 days before or after your honeymoon/anniversary date.
CHANGES TO RESERVATIONS: ANY changes made to your existing reservation for any reason are subject to the current rates, promotions, and terms at the time of change. Changes fees begin at $50.00 per change, plus any additional supplier penalties.
FINAL PAYMENT: The final payment MUST be received NO LATER THAN the date noted above in your invoice. Final payments are not automatically charged. Please note your calendar of this final payment date as reminders may not be sent. You must contact your Blue Sea Vacations/Travel Concepts Specialist on the date you'd like the payment to be posted. If you would like to apply your final payment to the same card as you used for the deposit, you may email your Blue Sea Vacations/Travel Concepts Specialist and tell them to apply it to that card as they will have that information on file. Blue Sea Vacations/Travel Concepts, Inc. is not responsible for cancellations due to payments made after this date. Late fees will apply. PLEASE NOTE: Payment disbursements may be made to various vendors/suppliers to satisfy your travel program in its entirety. Blue Sea Vacations/Travel Concepts, Inc. is considered a vendor/supplier.
CANCELLATION PENALTIES: All deposits are non-refundable. Any cancellation made will incur a $50 per person cancellation fee. This is on top of any fees imposed by the supplier. Please consider travel insurance to protect your investment. Regarding Airline tickets: if Blue Sea Vacations/Travel Concepts, Inc. booked your tickets, they are 100% non-refundable & name specific and subject to individual airline penalties/fees (see insurance below).
CANCELLATION PENALTIES FOR ALL GROUP CLIENTS – WEDDING GROUPS, SOCIAL GROUPS, CORPORATE GROUPS, ETC. If your reservation is associated with a Group, cancellation penalties as stipulated in the Group Contract will apply. A Group Contract applies when special terms and conditions have been negotiated with the hotel or resort for a block of rooms by a lead passenger such as the Bride and Groom for a Wedding Group or Group Leader. Air reservations associated with the Group reservation if booked with Blue Sea Vacations/Travel Concepts, Inc. are also subject to cancellation and change penalties. Clients will be responsible for the cancellation penalties unless Trip Insurance is purchased at the time of booking. Please refer to your booking agent for details.
LATE FEES: Final payments not received prior to the due date above will incur a $25 per person late fee. All reservations are subject to cancellation and hotel penalties as described above if the final payment is not received on the due date. Late fees are not covered by the travel insurance and are always non-refundable. All the above would be protected with the optional Travel Insurance with the exception of late fees. If you do not have insurance – natural disasters (such as hurricanes), cancellations for ANY reason (medical/personal emergencies, cancellation of the wedding, etc.) do not relieve you from these penalties. ONLY the Travel Insurance will ensure your coverage. All cancellations must be received in writing.
TRAVEL INSURANCE: Travel insurance is recommended for all vacations. We cannot add Cancel for any reason insurance after deposit; however, we can add other traditional insurance at a later date. For questions please consult your Blue Sea Vacations/Travel Concepts Specialist.
TRAVELING WITH CHILDREN: Children under 18 years of age not traveling with both parents or legal guardian(s) may need to present a notarized letter from the absent parent/guardian granting permission to travel outside the United States and provide emergency medical care if necessary. It is the responsibility of the traveler & the traveler’s parents/guardians to provide proper documentation to airport authorities.
TRAVEL DOCUMENTS: Travel documents will be sent to you no later than ten (10) days prior to departure date. Please read through these documents immediately; misprints, misspellings, incorrect dates etc. are not the responsibility of Blue Sea Vacations/Travel Concepts, Inc. Included in your travel documents (if airfare is purchased through Blue Sea Vacations/Travel Concepts) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets). Boarding passes are printed at the time of check in; online with the airline directly, or at the airport when showing passport & checking in luggage. It is very important that you take your travel documents with you in addition to passports and a major credit card for any baggage fees that may apply.
BAGGAGE FEES: Due to continual changes in airline baggage policies it is suggested that you inquire with your airline's website for up-to-date fees & information. Blue Sea Vacations/Travel Concepts, Inc. is NOT responsible for additional fees incurred for baggage or seating. BAGGAGE FEES ARE NOT PART OF AN ALL-INCLUSIVE PACKAGE! Please review "Updated Checked Bag and Carryon Bag Rules" at www.TSA.gov
AIRLINE SEAT UPGRADES: Most airlines provide the opportunity for seat upgrades when passengers are confirmed in the Economy/Coach class of service, for an additional fee per traveler. This can be done by accessing YOUR airline record. Blue Sea Vacations/Travel Concepts will provide you with the Record Locator/Confirmation #, which will allow the traveler to access the details on the airline website and process the upgrade with payment.
AIRLINE SCHEDULE CHANGES & CANCELLATIONS: Occasionally airlines change flight schedules, & may even cancel flights entirely. These changes are beyond Blue Sea Vacations/Travel Concepts’ control. In the event that such a situation occurs; Blue Sea Vacations/Travel Concepts, Inc. will do its very best to assist you with finding best possible alternate option(s). If the flight time change is minor (2 hours or less) the airline will automatically make the change (airline policies/rules entitle them to legally do so). Blue Sea Vacations/Travel Concepts, Inc. will notify you of major changes. Please Note: there may be additional costs to re-book a new flight should the airline cancel or make a major change to your original flight itinerary. Blue Sea Vacations/Travel Concepts, Inc. is NOT responsible for any additional costs or fees imposed by the airlines. It is the responsibility of the passenger to check for last-minute airline flight time changes within 24 hours of departure. Blue Sea Vacations/Travel Concepts, Inc. is not responsible for changes that may occur within 24 hours of the original flight departure time.
RE-CONFIRM YOUR FLIGHTS: Blue Sea Vacations/Travel Concepts, Inc. advises you personally re-confirm your flight schedule within 24 hours prior to departure directly with the airline in case of any last-minute changes or delays. Most airlines allow you to check-in online 24 hours prior to departure using the airline “Record Locator / Confirmation #” .
AIRLINE CHECK-IN: Please check in with your airline at the airport no later than two (2) hours prior to the scheduled flight departure time.
RESORT/HOTEL CHECK-IN: Check-in time at most resorts is 3:00 p.m. (local time). If you arrive prior to 3:00 p.m. your room may not be ready. The resort will store your luggage in a secure location on the property so you may start enjoying your vacation without delay. Change into something more comfortable and enjoy a nice lunch, swim in the pool, walk along the beach, etc. until you are notified that your room accommodation is ready for check-in.
DRESS CODE: Please be advised that some resort/hotel restaurants may require long pants, collared shirts, & closed-toe shoes for men. Please pack accordingly. In addition, when visiting sites in Rome, Italy, certain clothing may be prohibited.
RISKS: Customer acknowledges that travel to any location includes certain risks, dangers, and perils (the “Risks”), including without limitation exposure to bad weather, diseases, viruses, illnesses, or other conditions which may exist while traveling or in travel destinations. Such Risks are unavoidable, and Blue Sea Vacations/Travel Concepts, Inc disclaims any and all liability for harm to Customer related to such Risks. Customer agrees to waive any claims against Blue Sea Vacations/Travel Concepts, Inc for the Risks, and to hold harmless, defend and indemnify (including reasonable attorneys’ fees) Blue Sea Vacations/Travel Concepts, Inc for any claims or liabilities arising from or related to such Risks, to the fullest extent permitted by law.
HEALTH & SAFETY ADVISORY: The Center for Disease Control and Prevention (CDC) has issued a travel alert for travelers to specific countries in the Caribbean and Latin America due to the Zika virus, a mosquito-related illness. While the most common symptoms are usually mild and include fever, rash, joint pain, and pink eye, pregnant women should pay special attention to the travel alert and take necessary precautions to avoid mosquito bites. Additional information can be found under the Travelers Health section of the CDC website at http://wwwnc.cdc.gov/travel/notices. Women who are pregnant or trying to become pregnant should consult with their doctor.

(herein 'Travel Agency' is acting as a mere agent for SUPPLIERS and their contracted suppliers), in selling travel-related accepting services, or in accepting reservations or bookings for services that are not directly supplied by this Travel Agency (such as air and ground transportation, hotel accommodations, meals, tour, cruises, etc.). Travel Agency, therefore, shall not be responsible for breach of contract, failure to comply with any laws such as the Americans with Disabilities Act (ADA), or any intentional or negligent actions or omissions on the part of such suppliers, which result in any loss, damage, delay, inconvenience or injury to travelers or travelers' companions or group members.
